What information we collect
When you make an enquiry through our Check Your Date form, we collect:
Your name
Your email address
Your phone number, if provided (this field is optional)
Your event date and venue
The type of event you're enquiring about
Any additional details you choose to share in the free text box
How you heard about us
We also collect some information automatically when you visit the site, through cookies and analytics. This is covered separately in our Cookie Policy below.
We don't collect any sensitive category data (such as health information or financial details) through this form, and we'd ask that you don't include anything of that nature in the free text box either.
Why we collect it, and our lawful basis
We use the information you give us to:
Respond to your enquiry and check availability for your date
Arrange and deliver the booking if you go ahead with us
Keep records for accounting and tax purposes if a booking is confirmed
Improve our service and understand how people use the site, using anonymised or aggregated data where possible
Our lawful basis for processing your enquiry is legitimate interest, responding to enquiries about our services, and, where a booking is confirmed, contract, since we need your details to deliver the service you've booked. Where we hold financial records tied to a booking, our lawful basis is legal obligation, since HMRC requires us to keep these.
If we ever want to send you marketing communications beyond responding to your specific enquiry, we'll ask for your clear consent separately, and you can withdraw that consent at any time.
Who we share it with
We don't sell or rent your personal information to anyone. We do share it with a small number of organisations who help us run the business:
Squarespace, our website and form provider, who process and store enquiry data on our behalf
Google Analytics, which helps us understand how visitors use the site (see our Cookie Policy for details, and only where you've given consent)

Each of these providers only has access to what they need to do their job, and we don't share your information with anyone for their own marketing purposes.
How long we keep your information
If your enquiry doesn't lead to a booking, we keep your details for 12 months from the date of your enquiry, then delete them
If you book with us, we keep booking and invoice-related records for 6 years, in line with HMRC requirements for business records
If you've given consent for marketing, we keep your details until you withdraw that consent or ask us to stop
Your rights
Under UK data protection law, you have the right to:
Ask what personal information we hold about you
Ask us to correct anything that's inaccurate
Ask us to delete your information, where there's no legal reason for us to keep it
Withdraw consent at any time, where consent is our basis for processing
Object to processing based on legitimate interest
Complain to the Information Commissioner's Office (ICO) if you're unhappy with how we've handled your data
